This Privacy Policy explains how personal information may be handled during the NxtFleet private pilot. It is practical pilot-stage wording and is not final legal advice. It should be reviewed by an Australian lawyer before broader commercial rollout, public self-serve access, or paid pilot use.

NxtFleet is operated by Nextteller Pty Ltd (ABN 91 645 961 048). References to "NxtFleet", "we", "us", or "our" mean Nextteller Pty Ltd in connection with the NxtFleet service, unless a separate written agreement says otherwise.

What we collect

The information we collect depends on how you interact with NxtFleet and what information your organisation provides during the pilot.

  • Pilot request form details, such as name, email, company, fleet size, and stated operational needs.
  • Account and authentication details required to create, secure, and administer access.
  • Business and operational records entered, uploaded, imported, or supplied by a customer.
  • Driver, credential, training, medical, incident, renewal, fatigue, logbook, and audit-related records where provided by the customer.
  • Technical, log, diagnostic, security, and usage data needed to operate, secure, troubleshoot, and improve the Services.
  • Communication records, including pilot enquiries, support messages, feedback, and operational correspondence.

How we use information

  • To respond to pilot requests and assess suitability for a founder-led pilot.
  • To provide, operate, maintain, secure, and troubleshoot the Services.
  • To administer accounts, organisations, access, authentication, and support.
  • To support compliance visibility, audit-readiness workflows, renewal follow-up, and operational review.
  • To communicate about support, security, service updates, pilot feedback, and operational matters.
  • To improve product reliability, usability, security, and performance during pilot development.
  • To comply with legal obligations and protect rights, safety, security, and legitimate business interests.

Service providers and disclosure

We may disclose information to service providers and processors that help operate NxtFleet, including hosting, authentication, database, email, monitoring, security, development, communication, and operational providers. These may include Supabase, Clerk, Vercel, Resend, Sentry, Google Workspace, GitHub, and other providers reasonably required to operate, secure, support, or improve the Services.

We may also disclose information where required by law, to protect rights or safety, to investigate misuse or security issues, or with your organisation's consent or direction. We do not sell personal information.

Cookies and similar technologies

NxtFleet may use essential cookies, session storage, local storage, and similar technologies required for authentication, security, session management, preference handling, and service operation.

NxtFleet uses essential authentication, session, and security technologies to operate the service. We may also use privacy-conscious website analytics to understand aggregated public-site traffic and interactions.

We do not intentionally include pilot-request form contents or authenticated operational records in analytics events. NxtFleet does not currently use advertising profiling or session replay, and any future introduction of additional non-essential tracking will require a further privacy and consent review.

Data retention and deletion

We retain information for as long as reasonably needed to provide the Services, support the private pilot, maintain security and audit records, comply with legal obligations, resolve disputes, and protect legitimate business interests.

Pilot customers may request deletion or export of customer-provided records. Some information may need to be retained for security, legal, backup, audit, dispute, or operational integrity reasons. Deletion from backups and logs may occur on a delayed cycle.

Access and correction

You may request access to, or correction of, personal information we hold about you. For information controlled by a pilot customer organisation, we may need to coordinate the request with that organisation. Requests can be sent to info@nxtfleet.com.au.

Security

We use reasonable technical and organisational measures designed to protect information, including controlled access, authentication, database security, logging, monitoring, and operational review where appropriate for the pilot stage.

No method of transmission, processing, or storage is completely secure. Customers should use NxtFleet with appropriate internal controls, access management, staff training, and operational review.

Overseas disclosure

Because NxtFleet uses cloud providers and online service providers, information may be stored, processed, supported, or accessed from locations outside Australia. We take reasonable steps to use reputable providers and maintain appropriate safeguards for the pilot stage.
